Job Summary

This senior staff assistant position is responsible for assuring students in the department get paid in a timely and accurate manner. You will work with a supportive and friendly team of administrative staff, in a dynamic academic department, among faculty, staff, graduate and undergraduate students. You will be self-driven to find solutions and work with others across the university to be sure students receive their money. This includes student employee paychecks, grad student stipends, and tuition benefits.

Job Responsibilities

Fulfill a critical role within our academic department by providing student financial support and processing.

Responsibilities include:

  • Provide timely and accurate processing of graduate student stipend payments, including any requested modifications.
  • Obtain pertinent information from all sources to process tuition payments. Provide timely and accurate processing of student scholarship tuition payments, including any requested modifications. Verify student registration and tuition remission grant expiration dates before submitting paper work. Obtain signature authority on behalf of all department student and/or department faculty transactions.
  • Process student employment verification, hire, change forms for status or funding, wage adjustments, termination, and direct deposit for all student employees (graduate and undergraduate) within the department. Correct and update hours in timekeeping system, as necessary. Train student employees on the use of the timekeeping system. Ensure all student workers are in compliance with RIT policies.
  • Perform supervisor sign-off of time cards.
  • Maintain a master database of all tuition and stipend payments, and student employee information.
  • Track and reconcile tuition expenditures with Financial Aid, and the General Ledger. Track and reconcile stipend payments with the GL report.
  • Participate as part of a cohesive administrative team in organizing and implementing Center activities. Initiates special projects, as required.
  • Collaborate with other organizations within RIT such as Student Financial Aid, Student Employment Office, and the Registrar in a positive and solution-oriented manner.
  • Represent RIT in a professional manner with outside vendors and other educational institutions.

Required Qualifications

Two years of office/administrative experience.
Comfort using computer technology and applications, and willingness to learn new technologies.
Strong skills with Microsoft Excel and Google Sheets.
Solid arithmetic ability, including fractions and percentages.
Competent with Microsoft Office or Google Workspace tools.
Critical thinking and problem solving skills.
Uncompromising attention to detail.
Excellent customer service, particularly with students.

Preferred Qualifications

Demonstrated financial skills.
Experience with timekeeping software, ERP systems.
Budgeting or bookkeeping experience.

Department/College Description

The imaging science department at RIT is a dynamic academic department and research center with approximately $5M in annual research expenditures, comprising 40 research faculty and staff, 40 undergraduate students, and 80 MS/PhD students. This department is part of the College of Science, which promotes novel ways of thinking and implementation in a rapidly changing world. We provide our scholars with hands-on experience, cross/multi-disciplinary research, and faculty and staff mentors who not only educate but inspire our scholars.
