The Secretary II is responsible for providing clerical, administrative, and project support to the Department of Learning Support Systems. The Secretary II position will report directly to the Director of Learning Support Systems. The Director of Learning Support Systems manages the U.S. Department of Education's TRIO Support Services grant, the Tutoring and Academic Assistance Centers, Course-based Learning Assistance, and the implementation of Perkin III grants funding.

Example of Duties and Responsibilities:

  • Prepare correspondence, memoranda, reports, minutes and proceeding of meetings, hearings, conferences, and other material relating to a specialized, confidential or technical field.
  • Acts as a liaison between the director of learning support systems and departmental staff and/or campus community.
  • Performs receptionist duties such as receiving visitors, answering the telephone, scheduling appointments and taking messages.
  • Receives mail and composes responses to standard inquiries.
  • Maintains confidential filing and/or database and record-keeping systems on paper and/or computer.
  • Proofreads written materials for clarity, consistency, spelling, grammar, and punctuation.
  • Assist with managing the TracCloud system for reporting purposes.
  • Prepares reports which may require compiling and computing statistical data.
  • Disseminates information which may require explanation and interpretation of the college/departments/divisions policies and procedures.
  • Maintains records by performing duties such as monitoring, tracking expenditures, and preparing statements for distribution regarding the status of records, lists, or accounts.
  • Answers or refers inquiries from students, faculty, staff, and the general public regarding established policies and procedures; answers routine inquiries; and schedules appointments and meetings, facilities and events.
  • Assists with the hiring of part-time, managing timesheets, and monitoring the appropriate budgets.
  • Makes necessary travel arrangements.
  • Establishes and maintains an organized recordkeeping systems to support departmental reports.
  • Keeps an inventory of materials and orders new supplies when necessary.
  • Schedules use of campus facilities.
  • Conducting all duties with efficiency, accuracy, and timeliness while maintaining confidentiality.
  • Other related duties as assigned.

  • Requirements:

    Required Qualifications:

  • Must currently hold the title Secretary II or be reachable on the Monroe County Civil Service eligibility list titled Secretary II.
  • Must be a Monroe County resident.
  • Preferred Qualifications:

  • Bilingual and able to read, write, and speak Spanish, or other languages, proficiently.

  • Additional Information:

    Job Type: Permanent, Full-time

    Hours: Monday - Friday, 8:45am-4:45pm

    Salary: $37,604.44 (eligible for increment at 6 months, and 2.75% increase effective 9/1/23)

    MCC is currently testing a Pilot Telecommuting Program that runs from October 25th, 2021 to June 30th, 2023. Under the pilot program, this position may be eligible for remote work up to 5 days per pay period pending departmental need and leadership approval. The pilot program may be extended or terminated at any time at the College's discretion.
