Office Manager with Path to Operations Manager
Client is seeking a highly organized, proactive, detail-oriented Office Manager to support the daily operations of our growing health insurance agency. This is a remote W-2 position with occasional in-person meetings and a clear opportunity to grow into an Operations Manager role over time.
This role is ideal for someone who understands the realities of a growing small business, is comfortable wearing many hats, enjoys improving processes, and wants to grow as the company grows.
· Support daily office operations and help remove day-to-day responsibilities from the CEO
· Track priorities, deadlines, open projects, and follow-up items so nothing falls through the cracks
· Reconcile commission statements and follow up on missing commissions with carriers and partners
· Own and maintain standard operating procedures
· Track license renewals, annual filings, certifications, and compliance-related deadlines
· Track KPIs, support database health, and help improve reporting visibility
· Coordinate vendors, research technology tools, and support process improvement
· Oversee assigned work completed by the virtual assistant
· Help support rollout of new services, products, and internal systems
· Coordinate internal meetings, track action items, and help maintain team accountability
· Support audit readiness, documentation quality, and secure handling of PHI
· Reconcile business credit card statements and assist with accounts receivable tracking
· Prepare documentation for the contract CFO
· Manage client relations support, backup phones, and service follow-through
· Strong office management, operations support, or administrative leadership experience
· Excellent organization, follow-through, and problem-solving skills
· Ability to manage multiple priorities in a growing business
· Strong documentation habits and attention to detail
· Comfort learning new software and systems quickly
· Professional, warm, service-minded communication style
· Ability to work independently in a remote environment

Important Seasonal Expectation
We are a seasonal business. During Annual Enrollment Period (October through December 15), this is an all hands on deck time for the team. Candidates should be comfortable with peak-season demands and limited time off during that period except for illness or urgent circumstances.
