Responsibilities
Position Summary:
With minimal direction and considerable latitude for independent judgment, performs routine and non-routine duties requiring advanced technical and analytical skills and proficiency to support the education activities for the Graduate Programs (currently including MPH, MS-CI, MS-EPI, MS-HSR, EPI PHD, HSR PHD, Preventive Medicine Residency and multiple certificates) in the Department of Public Health Sciences (PHS) within the School of Medicine and Dentistry. Expected to perform duties with independent problem-solving skills by seeking out and referring to department and University policies, procedures and other resources.
Responsibilities:
Student Records
- Develop, manage, track and monitor all official, confidential academic records of current SMD graduate students, and Residents in the Department of Public Health Sciences ensuring the accuracy, integrity and security of all records. Work with the Academic Administrator to manage the retention and disposal of academic records to ensure compliance with institutional policy as well as state and federal laws.
- Work with Office of Graduate Education and Postdoctoral Affairs, and Graduate Medical Education Office on the preparation and analysis of enrollment data.
Educational Program Data Support
- Create and maintain annual reports, assist in collection and management of accreditation-related data and documentation, assist Associate Chair, MPH Program Director, MS and PhD Program Directors, Preventive Medicine Residency Program Director and Academic Administrator to ensure program compliance with accrediting bodies.
- Assist Academic Administrator with graduate student application and admission review process using including SOPHAS, Slate, ERAS, Thalamus, ACGME and AAMC
- Responsible for maintaining PHS database of applicants and current students/residents and alumni of PHS Graduate Programs (MPH, MS-CI, MS-EPI, MS-HSR, EPI PHD, HSR PHD, Preventive Medicine Residency and multiple certificates).
- Analyze and convey education programs data to Academic Administrator and Program Directors (e.g., accredited Preventive Medicine and MPH Programs) and support program reporting activities.
- Perform data analysis and generate summary reports which depict the strengths and opportunities for PHS education programs improvement and growth.
- Compile, edit and verify PHS education programs data for reports, surveys, correspondence, marketing, meetings and other purposes.
- Assist Academic Administrator in assessing PHS education programs’ compliance with CEPH, ACGME and ABPM requirements.
- Create and maintain well organized, detailed electronic files that demonstrate residency program compliance pertaining to HIPAA, mandatory health requirements, ABPM, ACGME, duty hours, GME policies, subspecialty organizations and others as needed.
- Generate student data reports from University student information system
- Assist Academic Administrator and Program Directors with department orientation, graduation and other student-oriented activities
- Assist with procurement and purchasing for Education & Residency Team
Recruitment, Admissions, and Alumni Relations
- With attention to streamlining operations and utilizing technology, assist the Academic Administrator with managing the application, inquiry and interview process for all graduate programs and certificates.
- With attention to streamlining operations and utilizing technology, manage the application, inquiry and interview process for the residency program. Create and distribute quantitative and qualitative reports to guide faculty in the review and ranking process.
- Transfer SOPHAS applications to Slate.
- Track the processing of all application and admission materials through various admissions systems for the different educational programs. Utilize systems to manage applicant data, and provide reports and required information to relevant PHS committees and the Graduate Admissions Office.
- Coordinate with the Offices of Graduate Education and Postdoctoral Affairs and Graduate Medical Education on admissions and application processes.
- Assist the Academic Administrator with managing the PhD interview weekend process and assist with Residency Match.
- Maintain alumni database, update records, assist with alumni survey activities, and support efforts to build and maintain PHS education programs alumni network(s)
Technological Support
- Obtain and maintain “expert level” knowledge of SOPHAS.
- Obtain and maintain “expert level” knowledge of Med Hub. Act as liaison to the GME Office for Electronic Resident Application System (ERAS) software updates, reporting and troubleshooting
- Obtain and maintain “expert level” knowledge of ERAS. Stay abreast of changes to ERAS technology and procedures and report to the PhD, MPS, and MS Program Directors the impact of those changes on application process and recruitment.
- Obtain and maintain “expert level” knowledge of Box and Microsoft Office 365 cloud platforms and associated MS 365 applications.
Other duties as assigned
Qualifications:
- Bachelor’s Degree in statistical analysis, data base management, or related discipline required
- 1 year of data analysis or customer resource management experience or equivalent combination of education and experience required
- Excellent organizational skills and meticulous attention to detail required
- Excellent communication and interpersonal skills required
- Fluency/skill with Microsoft Office software and Office 365 cloud-based platforms, including Outlook, Access, Word, Excel, and PowerPoint, Social Media, and Box cloud storage environments required
- Proficiency in database management and reporting software required
- Experience with student information systems preferred

Pay Range
Pay Range: $44,419 - 62,186 Annually
The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
