The Office Manager ensures a smooth, welcoming, and highly functional workplace by providing cross-departmental administrative support, cultivating a strong office culture, and delivering exceptional customer service to staff, visitors, and external partners. This is a full-time, in-person role in our downtown Rochester, NY office.
Essential Job Functions & Key Responsibilities:
Office Operations & Culture

Oversee day-to-day office operations including supplies, equipment, facilities coordination, access, and general workspace functionality.

Champion a positive, inclusive, and engaging office culture aligned with organizational core values.

Coordinate initiatives that support employee engagement, office attendance, and shared team experiences.

Serve as a welcoming presence for employees, clients, and guests; manage visitor intake and general inquiries.
Cross-Department Administrative Support

Provide proactive administrative support to all departments, preparing documents, reports, and materials as needed.

Maintain organized digital and physical records; track and renew essential contracts, licenses, insurance, and compliance documents.

Manage scheduling needs such as meeting room setup, event support, and cross-team coordination.

Assist with space planning to optimize workflow and ensure meeting areas remain clean and fully equipped.
Communication & Customer Service

Act as the primary point of contact for incoming calls, emails, mail, and deliveries, ensuring timely and accurate routing.

Communicate consistently and effectively with staff, leadership, vendors, and external partners.

Represent the organization with professionalism, confidentiality, and a customer-focused mindset.
Vendor, Safety & Event Coordination

Manage vendor relationships, service contracts, and office-related expenses; ensure timely and accurate invoicing.

Support safety procedures, equipment maintenance, and compliance with health, safety, and environmental standards.

Coordinate office events, meetings, travel arrangements, and offsite activities for employees and executives.
Education & Qualifications:

2–3 years of office administration or management experience; reception or supervisory experience preferred.

Strong interpersonal skills, with the ability to collaborate across all levels of the organization.

High proficiency in Google Workspace and Microsoft Office Suite; strong data entry and organization skills.

Excellent communication, problem-solving abilities, and attention to detail.

Ability to manage multiple priorities, maintain professionalism, and handle confidential information discreetly.

High school diploma required; additional administrative certifications a plus.

Annual salary range of $50,000-$55,000, commensurate with experience
